Job Description

Job Summary
Provides administrative support to the assigned organization using standard office equipment, corporate systems, processes, policies and procedures.  Back up for the ERS employee training data base and training records.  Performs requisition and purchase order duties and assists with tracking customer orders and resolving customer issues.  Ensures effective control, distribution, traceability, retention and retrievability of documents (e.g., procedures, plans, manuals and drawings) and quality assurance records.

Job Duties/Tasks/Responsibilities
  • Performs various administrative tasks.
  • Back up to ordering office, uniform and safety supplies items.
  • Assists with expense reports.
  • Prepares, submits and tracks purchase requests / purchase orders to sub-vendors and suppliers.
  • Back up for completing and processing purchase requisitions for parts and equipment needed for the facility.
  • Data entry and systems tracking for vendor payment processing.
  • Works with Accounts Payable and Procurement to ensure smooth, timely purchases, receipts and associated documentation.
  • Assists with tracking orders from customers and delivery logs.  Assists with ensuring products are delivered on time and according to customer requirements.
  • Assists with resolving customer issues and concerns in a timely manner.
  • Ensures implementation of the Records Management System (i.e., receives, validates, processes, distributes, files and retrieves quality-related records), which contributes to smooth company operations.
  • Maintains Document Control policies, procedures and forms on the intranet ensuring current versions are posted.
  • Maintains a computer database/network for the control and distribution of documents.
  • Receives, processes, distributes, files, reproduces and retrieves documents.
  • Tracks biennial reviews of procedures to ensure procedures are consistent with the latest changes in regulatory requirements.
  • Assists preparers of documents released to Document Control to ensure requirements are met (e.g., correct document formatting).
  • Works independently referring unusual problems to the document control manager.
  • Performs office support functions such as filing, matching invoices, data entry in Oracle, handling correspondence, preparing reports and specific projects as departments directed.
  • Assists with obtaining quotes from vendors.  Places orders as needed.
  • Assists Health & Safety with safety card tracking for ERS groups.  Provides quarterly update for each department.
  • Performs setup for visitor/customer visits and plans special events as directed by management. 
  • Performs other duties as assigned.

Minimum Education, Experience and Certification Requirements
Education
  • High School diploma or GED
Certifications

Required Experience
  • A minimum of 4 years administrative/clerical experience
