Job Summary
Ensures effective control, distribution, traceability, retention and retrievability of documents (e.g., procedures, plans, manuals and drawings) and quality assurance records.

Job Duties/Tasks/Responsibilities
  • Ensures implementation of the Records Management System (i.e., receives, validates, processes, distributes, files and retrieves quality-related records), which contributes to smooth company operations.
  • Maintains Document Control policies, procedures and forms on the intraweb ensuring current versions are posted.
  • Maintains a computer database/network for the control and distribution of documents.
  • Receives, processes, distributes, files, reproduces and retrieves documents.
  • Responds to customer requests on a daily basis.
  • Tracks biennial reviews of procedures to ensure procedures are consistent with the latest changes in regulatory requirements.
  • Assists preparers of documents released to Document Control to ensure requirements are met (e.g., correct document formatting).
  • Works independently referring unusual problems to the document control manager.
  • Performs other duties as assigned.
 
Minimum Education, Experience and Certification Requirements
Education
  • High School Diploma or equivalent experience
Certifications
  • None required
Required Experience
  • A minimum of 2 years of general office experience
  • A minimum of 2 years of records management experience
Preferred Experience
  • None
Required and Desired Skills
  • Intermediate level proficiency in Microsoft Office Word and database applications
  • Intermediate level clerical skills (i.e., typing 45+ wpm, filing, etc.)
  • Effective verbal and written communication skills
  • Effective customer service skills
  • Effective time management skills

Physical/Mental Requirements and Working Conditions
  • Ability to carry up to 25 pounds; handle and reach below shoulder
  • Ability to use hands to accomplish tasks as assigned
  • Ability to sit, stand and walk
  • Ability to effectively communicate; pass audiogram in hearing conservation program as required by location
  • Ability to see close and distance
  • Ability to work inside an office
  • Ability to work alone, work with others, and interact with the public
  • Ability to perform under deadline pressure
